Intake Team Outpatient Care Coordinator – Command Center – Orlando

AdventHealth Orlando seeks to hire an Intake Team Outpatient Care Coordinator who will embrace our mission to extend the healing ministry of Christ.

Located on a lush tropical campus, our flagship hospital, 1,368-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. Department Profile:

The (Logistics) Patient Placement Coordinator is a professional registered nurse who has the responsibility to plan, prioritize, organize, direct and control all admissions and transfers between nursing units and hospitals for the AdventHealth Orlando. Acts as a liaison between referring hospitals, physicians, offices, and nursing department on issues pertaining to the placement of all patients. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

3/12’s, 7AM – 7PM

Job Summary:

Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Serves as the primary owner of physician satisfaction with the service of their patients in the AH system and is the primary contact point for Physician offices for coordination of referred imaging studies. Supervises all tasks and resources of the Intake Team in order to enhance both referring physician and patient satisfaction. Strives to meet the scheduling demands of referring physicians and provides a customer service based access point to engage the Imaging Services Department. Ensures the timely and proper collection, documentation, usage and data entry of any information required to ensure payment for the procedure from the patient and/or, their insurance carrier. Proactively reviews all scheduled events in advance and serves as the Physician Office contact to resolve outstanding issues related to demographics, prescriptions, finance, patient history, clinical requirements, diagnosis coding, etc.

Knowledge, Skills, Education, & Experience Required:

Outstanding Oral and written communication skills
Advanced Computer Skills (MS Windows / MS office, etc.)
Understanding of Health Insurance Authorization processes
Familiarity with Radiologic procedures, terminology & modality requirements
College education or coursework in healthcare related field (preferred)
Scheduling experience (preferred)
Healthcare Financial Services experience (preferred)

Job Responsibilities:

Relationships: Build and maintain relationships with key referring physicians through delivery of quality service to physicians referred patients. Uses creative thinking and high quality customer service to accommodate the patient imaging needs of referring physicians. Seeks to increase referred volume through relationship expansion. Works closely with the Campus Imaging Director to resolve physician related problems or issues as needed.
Patient Intake Management: Provides leadership over the team responsible for ensuring accurate and complete Scheduling, Verification of Benefits, Pre-authorization, and Pre-Certification of imaging exams. Is trained and capable of handling all team duties where needed. Serves as the supervisor of other intake team members and provides guidance on training and performance issues. Serves as the Knowledge leader for Imaging specific terminology and process.
Scheduling as needed: Serves as a back-up to the Intake team as a seasoned scheduler providing scheduling service during peak volume times. Creates patient accounts, schedules appointments and pre-registers patients striving to gather and validate all required information on a single phone call.
Accuracy: Reviews in detail and prepares patient visit paperwork in advance on a routine basis to ensure all requirements are completed to ensure a timely and accurate exam is performed. Serves as the owner and leader of the team handling all exceptions uncovered. Takes ownership of solving the exception in advance of the visit to ensure minimal impacts to the schedule.
Efficiency: Drives Imaging patients efficiently through the Intake process and strives to fill customer of physician requests with minimal calls. Balances excellent customer service with effective utilization of departmental resources to ensure maximum revenue is attained through accurately delivered and billed imaging services.
Customer Service: Delivers excellent customer service fulfilling the AdventHealth Mission of extending the healing Ministry of Christ. Pleasant tone of voice, friendly and helpful attitude, keeps conversation focused on customer. Handles calls and issues promptly and efficiently. Serves as the final intake supervisor to resolve issues escalated from other team members. Identifies opportunities for improvement and expansion of new physician relationships.
Skills: Maintains skill level and knowledge of imaging trends by reading, attending training sessions and completing study materials provided by AdventHealth and disseminates information to the Intake team
Service Skills: Participates in Customer Service workshops and seminars as recommended by Campus Imaging Director. Completes Customer Service exercises and lessons provided by AdventHealth. Submits results of required competencies or tests on time.
Teamwork: Is respectful of co-workers and offers assistance as needed to help others complete assigned tasks. Participates in activities that promote camaraderie and a friendly workplace. Willingly and enthusiastically participates in team/department initiatives. Readily voices concerns and problems to managers/supervisors.
